How does this calculator work?
The base ratio per event type follows industry guidelines (BS6465, RIVM-NL, eventplanner.be) and 11+ years of Toiletdames.be practice:
- Wedding: 1 host per 250 guests
- Corporate: 1 per 300
- Gala / VIP: 1 per 200 (more service)
- Festival: 1 per 750
- Concert: 1 per 600
- Fair / conference: 1 per 500
On top of that we automatically apply multipliers:
- Alcohol + night hours: ×1.10 daytime alcohol · ×1.20 alcohol + 2+ night hours · ×1.30 alcohol + 4+ night hours
- Restroom workload: one host can manage ±10 to 16 units (stalls full weight, urinals count half). A second host is only added for larger setups.
- Restroom blocks at distance: at least one host per block at medium/long distance
- Fee collection: ×1.30 on events > 150 guests (smaller events one host can combine with cleaning)
Shift logic & overtime: a restroom host works at most 9 hours per shift. From the 10th hour on, overtime applies (+50% on the rate). For events up to ±11 hours it is usually cheaper to let one host work overtime than to call in a second shift — a second shift needs a minimum call of 5 hours plus travel. From ±12 hours splitting into 2 shifts becomes cheaper and smarter. Above 16 hours we split into 3 shifts.
Meal allowance: €10 for shifts of 5–8h (snack), €17.50 for shifts ≥ 8h (full meal). Only counts when a shift overlaps a meal window (lunch 12:00–14:00 or dinner 19:00–21:00, min. 60 min). A long shift covering both lunch and dinner adds +€10. If the caterer feeds the staff, the allowance drops to €0.
